Print a Deposit Slip Directly in QuickBooks

Good news! You no longer have to hand write the daily deposit slip for the bank - let QuickBooks do it for you automatically. Your cramped hand will thank you!

Printing the deposit slip directly in QuickBooks is easy - choose the payments for your deposit via the "Record Deposits" window as you normally do. Once you get to the final screen of the "Record Deposits" process, simply click the black arrow to the right of the "Print" button at the top of the screen as shown below:

Granted, you will have to have QuickBooks compatible deposit slips (just as you do QuickBooks checks) to make this work, but they should pay for themselves in no time.

Custom Fields for QuickBooks Inventory Items

QuickBooks provides the ability to create and use up to 5 custom fields for entries in the Item List.

These fields can be used to describe color, size, length, or any other characteristic of the specific item. Once you create these 5 custom field boxes, you will see the same 5 boxes available regardless of whether you are working with a service item, inventory part, non-inventory part or inventory assembly. It is not possible to set up different custom fields for different types of items in the item list.

In the graphic below, I have an inventory part in my item list called Cabinet Pulls. Once I double-click on the Cabinet Pulls item in my item list, I then click on the "Custom Fields" box on the right hand side. You see that I have defined a custom field called "color" and one called "material".

At this point, I can create up to 3 more custom field boxes by then clicking on the "Define Fields" box, and adding these custom fields to my list. Keep in mind that the content of these custom fields does not display by default in QuickBooks - you have to click on the "Custom Fields" box each and every time you want to see what the custom fields contain for a given item.

Once created, it is possible to pull this custom field information to a few basic QuickBooks reports (i.e. Item List, etc.), and it can also be pulled to a sales order or invoice as additional column information too.

Printing Mailing Labels In QuickBooks

I'm often asked if QuickBooks has the capability to print mailing labels - it sure does!

To walk through the process, click on File, then Print Forms, then Labels. The following box will appear:

Note the range of options that are available to you - single or multiple customers, customers or vendors of a certain type, some basic zip code filtering, and the ability to print ship to addresses where available.

From there, just choose your printer and tell it what type of label stock you are using (Avery 5260, etc.), and your labels will be on their way.

Entering Bills in QuickBooks with Preset Ledger Accounts

One of the improvements that was baked into the 2008 versions of QuickBooks was the ability to "pre-fill" a vendor account with up to 3 ledger accounts. These "pre-filled" entries then appear on the "Enter Bills" screen each and every time you create a bill for that vendor.

For example, every time you enter a bill to the XYZ Company, you want to use your Repairs and your Rent ledger accounts. QuickBooks is more than happy to handle this for you. Simply edit the vendor account for the XYZ Company and click on the "Account Prefill" tab. Select your account(s) of choice, and then click OK.

You can change the prefill accounts at any time as well.
